Welcome... to the family of student travelers representing
America's best student tour operator. As a student organizer,
you'll have the opportunity of taking your classmates and friends
on perhaps the most exciting time of their life. . .the senior
graduation trip! Hundreds of thousands of students have traveled
with us and have echoed the same response. "Thanks for the time
of my life!"
Our Goal: To provide the best grad trip possible by
offering professional, well-organized, safe, fun and memorable
trips.
Your Responsibility: As a student organizer, you are
considered our official representative on your campus. Your role
is to provide the enthusiasm and organization to see that our
promotional efforts on campus reach every student and home.
Select a Travel Destination and Hotel. Spread the
Word. Your USA sales representative will host a "big" meeting
for all interested seniors, parents, and faculty. At this meeting,
he or she will go over all the details of the trip, company information
and answer any questions. Our representative will set a deposit
deadline at this time and collect any deposits that need to be
turned in.
Collect Applications and Deposits. Since our trips
are based on availability, it is important that you collect as
many deposits as soon as possible when you begin promoting the
trip. Please paper-clip the check or money order to each application.
Make sure that the application is signed by the participant's
parents and information on the application is complete and correct.
Promptly mail the applications and the deposits to:
USA Student Travel
5080 Robert J. Mathews Parkway
El Dorado Hills, CA 95762
Do not hold onto these deposits. Mail them to our
office as soon as you receive them from your classmates. Once
the completed application and deposit is received by us, the
traveler is confirmed and will soon receive a statement.
Assign Roommates. After final payment (due by March
1st), you will receive a list of all active travelers from your
school, along with instructions on how to prepare a rooming list.
The rooming list must be returned to our office no later than
two weeks after you receive it. Contact your sales representative
if you have any problems with your group's rooming.
Student Organizer Registration. All organizers must
send in a completed registration form and deposit when they send
in their packets. You must also include the cost of departure
tax and hotel security deposit($25) as follows: $95 for Mexico,
$80 for Bahamas, $60 for Hawaii. You will then receive monthly
invoices so you know what the students are getting. You do not
have to make any additional payments. Somewhere on the application
you need to write whether you are "Organizer #1 (the primary
organizer), Organizer #2, Organizer #3, etc. Your USA Sales Representative
will give you an "Organizer Fact Sheet" for you to fill out.
This will confirm to us who the organizers are. Free trips are
based on the number of travelers paid in full after all final
payments have been processed. If you do not wish to travel, please
notify the office prior to final payment deadline so we do not
book an air reservation for you.
